1. Who we are

South West Megagames ("SWMG", "we" or "us") is run by John Mizon as a sole trader. To ask anything about your information, email contact@swmegagames.co.uk.

2. What we collect and why

We only collect what we need for each activity below. We do not sell your information or use it for anything else.

Reserving a place or buying a ticket

We collect your name, email address, mobile number and anything you add in the form. We use this to run the event, send you important information about it, contact you on the day if needed, and for the cast list (section 3). We need it to provide the event you signed up for.

Buying a PDF game pack

We collect your name, email address and the amount paid. We use this to process and deliver your order and to keep sales records. We need it to fulfil your order, and keeping tax records is a legal requirement.

Buying a gift voucher

We collect your name and email address, to contact you and make sure you receive your voucher. We need it to fulfil your order.

Mailing list

We collect your email address to tell you about upcoming events. We rely on your consent, which you can withdraw at any time.

Contact forms and enquiries

We collect your name, email address and message so we can reply to you. We do this because we have a legitimate interest in answering your enquiry.

Private game hire and business bookings

We collect your name, contact details, organisation and booking details to arrange and run your booking. We need them to provide the booking.

3. Cast lists

The name you give when booking appears on the cast list for that game, which is published on our website. If you would rather not use your real name, you can give a pseudonym in the "Name" field, or ask us in the notes field to use one.

Most cast lists are removed within a year of the game but some may be retained for longer; these are not linked from the website, but anyone with the direct link can still view them. If you would like your name removed from any cast list, just email us and we will remove it.

4. Hearing about future events

If you book a place, buy a ticket, buy a game pack or buy a gift voucher, we may occasionally email you about similar future SWMG events. You can say no when you book, and every such email will tell you how to opt out. You can also opt out at any time by emailing us.

5. Who else handles your information

We do not share your information with anyone for their own use. Like most small businesses, we rely on a few trusted services to run things, and they handle your information on our behalf:

Wix, which hosts our website and its forms
Ticket Tailor, when used for ticket sales
PayPal, when used for payments
Our email provider, which stores our emails

Some of these services may store information outside the UK. Where they do, they are required to protect it to UK standards.

We may also share information if the law requires it.

6. How long we keep it

We keep your information only as long as needed for the purposes described above and to meet our legal and tax obligations.

7. Your rights

Under UK data protection law (the UK GDPR and the Data Protection Act 2018), you have the right to:

see the information we hold about you
ask us to correct it
ask us to delete it
object to how we use it, or ask us to limit its use
withdraw your consent at any time, where we rely on it (for example, the mailing list)

To use any of these rights, email contact@swmegagames.co.uk. If you are unhappy with how we have handled your information, please contact us first. You also have the right to complain to the Information Commissioner's Office (ICO).
